Cambodian Coffee Technical Specifications: How Wholesale Buyers Build a Lot Specification Sheet
A buyer-side guide to writing Cambodian coffee specification sheets without inventing national standards. A wholesale coffee purchase becomes dependable when the buyer and supplier describe the same lot in the same language. “Cambodian coffee,” “Fine Robusta,” or “specialty” can be useful starting labels, but none is a technical specification. A lot specification sheet translates an origin story into measurable information that a roaster, hotel, restaurant, café, office program, or importer can approve, compare, receive, and review. It records what the coffee is, where it came from, how it was processed, what quality evidence exists, and what both parties agreed will happen if the delivered lot differs from the sample.
For Cambodian coffee, a clear sheet is especially valuable because supply chains are still developing and public data can be uneven. The document should not pretend that every farm has laboratory equipment or that every season behaves identically. It should state what is verified, what is sampled, what is provisional, and who is responsible for each measurement. A practical specification protects buyers from vague claims and gives producers a fair way to show the work behind a higher-quality lot.
1. Start with a precise lot identity
The first section should make the lot impossible to confuse with another shipment. Record the country, province, district, commune or producer group when available, farm or collection-centre code, harvest year, harvest months, and an internal lot number. If the coffee comes from Mondulkiri, identify whether the lot is a single producer, a cooperative blend, or a regional collection. “Mondulkiri” alone is not a farm-level traceability statement.
Add the species and, where known, cultivar or genetic material. Canephora may be described as Robusta in commercial documents, but a buyer should ask whether the supplier can provide more detail. If genetic identity has not been tested, write “not independently verified” rather than implying certainty. Include the volume offered, expected shipment volume, packaging format, and the date on which the specification was issued. A revision number prevents an old sheet from being used after the process or lot has changed.
2. Describe the physical green coffee
Physical measurements help a buyer judge stability before tasting. The sheet can include moisture percentage, water activity when measured, screen-size distribution, density, colour description, foreign-material findings, and defect counts. State the instrument, calibration date, sample size, and test date whenever possible. Numbers without method and date are difficult to compare.
Moisture should be reported as a range or target with an agreed tolerance, not as a magical guarantee. A shipment may change during transport, so the contract should identify the receiving test and the action required if results fall outside tolerance. Water activity can add useful information about storage risk, but not every producer has access to the same meter. If it is unavailable, the sheet should identify the limitation and rely on careful moisture, packaging, and storage records instead of inventing a value.
Screen distribution matters because roast development and sorting can vary with bean size. It does not determine flavour by itself. A buyer should treat it as one input alongside density, defect risk, processing history, and the intended roast profile.
3. Define defect and cleanliness expectations
A specification should say how defects are counted and which defects trigger rejection, discount, or review. Separate primary defects from minor defects where the chosen protocol allows it, and identify whether the count is based on a fixed sample weight. Include odour checks for mould, phenolic taint, fuel, chemical contamination, or other abnormal notes. Coffee should be assessed in a clean environment because storage odours can be mistaken for green-bean character.
Cleanliness is broader than a low defect number. The sheet should cover stones, sticks, insects, broken packaging material, and any risk introduced at the collection or drying site. If the lot has been mechanically cleaned, record the equipment and the final inspection. A clear tolerance protects both sides: the supplier knows the acceptance standard, and the buyer can distinguish a genuine quality issue from a difference caused by sampling.
For emerging Cambodian supply chains, it is reasonable to mark the first season as a baseline. A baseline is useful only when the next shipment is measured in the same way. Changing the method every season makes improvement appear or disappear on paper.
4. Make processing information operational
“Natural,” “washed,” “honey,” and “fermented” are process families, not complete records. State how cherries were selected, how quickly they reached the processing centre, and whether immature, damaged, or overripe fruit was removed. For washed lots, record water handling, pulping, fermentation or demucilaging method, and parchment drying. For naturals, record sorting, bed type, turning schedule, rain protection, and drying endpoint.
Experimental fermentation deserves extra detail. Record the start and stop time, vessel, temperature observations where available, inoculated culture or added material if any, and the procedure used to prevent uncontrolled contamination. A fashionable process name cannot replace a repeatable protocol. If the method is a trial, label it as a trial and describe the sensory result as a result from that lot rather than a permanent origin characteristic.
Drying records should include start date, target moisture, interruptions from rain, and storage transition. These details allow a buyer to investigate a defect and allow a producer to repeat a successful approach.
5. Connect the sample to a sensory method
A cup description becomes useful when the evaluation method is visible. Identify the roast level used for the sample, the rest time, brewing or cupping protocol, water recipe if relevant, number of evaluators, and evaluation date. A buyer does not need every supplier to use the same protocol, but the method must be repeatable enough for a comparison.
Use sensory language that describes observations rather than promises. Notes such as cocoa, toasted grain, spice, dried fruit, or brown sugar should be linked to the sample and preparation. Record body, bitterness, acidity, sweetness, finish, balance, and any defect character. If a result is preliminary or comes from one small trial, say so. A single exciting cup can justify further testing; it cannot prove season-long consistency.
The sheet should also identify the intended application. A lot for espresso in a hotel may need body and crema performance, while a filter feature may prioritise clarity and sweetness. The same green coffee can be suitable for one use and unsuitable for another, so “quality” should be connected to the buyer’s recipe and menu.
6. State roast and brewing implications carefully
A technical sheet does not need to dictate a final roast profile, but it should help the roaster plan a first test. Include density, moisture, processing style, and any known behaviour from pilot roasting. Explain whether the sample was roasted as a single-origin lot or blended. Do not claim that one profile works for every machine.
For Fine Robusta, a buyer may want to evaluate development time, bitterness management, body, and the way sweetness changes as the roast progresses. The purpose is not to hide species character. It is to identify a balanced profile that is repeatable and useful to the customer. Espresso testing should include dose, yield, extraction time, and milk performance when the coffee is intended for lattes or cappuccinos. Filter testing should record recipe and contact time so that sensory comparisons are fair.
Pilot results should be labelled as pilot results. They support a decision; they do not become a universal specification without more evidence.
7. Record origin and climate evidence without exaggeration
Origin information can include elevation, soil description, shade system, rainfall pattern, dry-season exposure, and access to water. These details help a buyer understand variation, but they should be sourced. Distinguish a farm record, a cooperative statement, a public dataset, and an unverified narrative. Cambodia is not one uniform growing environment, and Mondulkiri should not be presented as if every farm has identical conditions.
Climate claims require special care. Heat tolerance is not the same as drought tolerance. If irrigation is used, note the water source, months of use, and whether the information is measured or reported by the producer. A responsible specification explains uncertainty instead of calling Robusta climate-proof. It also asks who pays for adaptation and whether quality work creates a fair return for farmers.
A buyer can request seasonal updates rather than demanding a perfect long-term dataset. A consistent record of harvest timing, water access, drying conditions, and cup results will become more valuable over time.
8. Build traceability into the contract
Traceability should connect the lot code to people and events: producer group, collection date, processing batch, drying location, storage bag, and shipment. A simple paper log or spreadsheet can work if staff use it consistently. The system should define who may change a record and how corrections are documented.
The contract should state whether lots may be blended after approval. If blending is allowed, identify the permitted components and the new lot code. If a buyer approved a single-farm sample, the delivered coffee should not silently become a regional blend. When a substitution is necessary, the supplier should disclose it and provide a new sample or a documented approval.
Traceability is not only a compliance exercise. It helps a producer find the cause of a defect, helps a buyer explain variation to a customer, and gives farmers evidence that their careful work was recognised.
9. Include farmer and payment information
Quality specifications influence farmer economics. Selective picking, repeated harvest rounds, careful drying, sorting, and record keeping require labour. The sheet should state whether a quality premium exists, what conditions trigger it, when payment is made, and how deductions are calculated. A premium that cannot be explained is difficult to trust.
Ask whether farmers receive feedback after the lot is evaluated. Feedback can be simple: moisture result, defect observations, sensory notes, and the next improvement target. It should not create an excessive administrative burden. Buyers should also recognise that a smallholder may face transport, labour, water, or storage constraints that are invisible in a polished product description.
A reliable supply relationship is built when the specification describes responsibilities on both sides. The producer commits to a process and a record; the buyer commits to a fair review, clear acceptance, and timely payment.
10. Define sampling, acceptance, and dispute steps
The final sections should explain how samples are taken before shipment and after arrival. Identify sample size, laboratory or cupping method, who performs the test, and the time window for reporting a concern. If the buyer and supplier use different instruments, agree how differences will be reconciled.
Acceptance criteria should cover identity, moisture or water activity, defect tolerance, odour, sensory condition, packaging, and documentation. The contract can allow a cure period, price adjustment, replacement, or rejection depending on the seriousness of the problem. A written process reduces the temptation to argue from memory.
Dispute language should not punish a producer for a normal, disclosed seasonal variation. It should address material differences from the approved lot. The specification is strongest when it protects quality and keeps the relationship workable.
