A B2B Evidence Checklist for Co-Fermented and Additive-Processed Coffee
A buyer-facing evidence and chain-of-custody checklist for sourcing process-forward Fine Robusta without overstating what producers, importers, roasters, or tests can prove.
A green-coffee buyer does not need to solve the philosophical argument over co-fermentation before writing a better purchase file. The operational task is concrete: capture what happened, identify who supplied each fact, preserve uncertainty, and prevent marketing language from becoming more certain at every handoff.
This is especially important for Fine Robusta. Coffea canephora deserves procurement based on identity, physical and sensory performance, producer capability, and fit—not a vague experimental-process halo. A strong evidence file can support innovation while protecting the producer, importer, roaster, and customer from claims that outrun the record.
Define the claim you need to support
Start with the exact sentence likely to appear on an offer sheet, product page, menu, or package. “Fruit co-ferment” is not sufficiently precise. A supportable claim might state that whole coffee cherries were fermented with a named fruit pulp, or that a selected yeast was introduced and no non-coffee fruit was reported.
Break compound claims apart. Species, variety, farm, region, fermentation vessel, culture, non-coffee input, drying method, and “no additives” each require their own source. A document supporting the farm name does not automatically support the intervention.
Use OCC’s definitions owner to normalize categories before sending questions. The purpose is not to impose jargon on producers; it is to prevent one ambiguous answer from filling several fields.
Build a lot-level identity record
Record producer or group, farm or mill, country and region, species, variety or local material when known, harvest period, lot code, export reference, and physical quantity handled under that identity. Do not infer canephora variety from a trade name. Mark mixed lots as mixed.
Keep source documents in their original language and preserve the original wording beside any translation. A smooth English paraphrase can accidentally change “fermented fruit” into “fermented with fruit.” Date every version and note who made the translation.
Origin is not evidence of a processing shortcut. Do not use country-level reputation, social posts, or the practices of another producer to fill a lot record. Due diligence follows the lot.
Map the process chronologically
Request a sequence from cherry reception to export preparation: selection, flotation or sorting, depulping if any, fermentation stages, washing, drying, conditioning, storage, hulling, and any reprocessing. For each stage, ask about vessel, approximate timing, environmental controls recorded, and intentional inputs.
The sequence should distinguish active fermentation from soaking, drying contact, and post-drying treatment. If “thermal shock” or “anaerobic” is used, ask what those words describe operationally. Neither term answers the additive question.
Protect proprietary details by accepting ranges or category-level disclosure where exact ratios and recipes are commercially sensitive. A producer can retain intellectual property while declaring whether selected microbes, fruit, extracts, flavor preparations, acids, enzymes, sugars, or carriers were used.
Use an input ledger
Create one row per intentional input with fields for common name, functional category, form, supplier if disclosable, lot or batch reference if available, amount or range if available, stage added, removal or rinse step, and documentary source. Include coffee-derived materials such as mucilage or recirculated fermentation liquid rather than assuming they are irrelevant.
Separate microbial cultures from non-coffee flavor-bearing materials. A yeast starter changes biological activity; a fruit concentrate introduces fruit material; an enzyme may be a processing aid; a carrier may facilitate transfer. The legal treatment of these categories varies, so obtain market-specific advice before making ingredient statements.
If the supplier says “nothing added,” ask whether that includes water, cultures, processing aids, fruit, extracts, flavors, and post-drying applications. The answer may legitimately distinguish categories.
Record provenance for every answer
Tag each field as producer-reported, mill-reported, exporter-reported, importer-transcribed, buyer-observed, document-verified, laboratory-reported, or unknown. These are provenance labels, not invented trust scores.
Preserve the date, document, and responsible contact. If a roaster learns that its importer copied a description from an earlier lot, correct the record and downstream copy. Version control matters because experimental protocols may change between harvests while retaining a familiar commercial name.

Handle “proprietary” responses constructively
Do not demand a full recipe as the first move. Explain which purchasing or labeling decision requires an answer. Ask for binary category disclosure, then progressively more detail: Were non-coffee biological materials present? Were extracts or flavor preparations used? Was any material applied after drying? Was a selected culture used? Can the producer attest to the answer in writing?
Offer confidentiality where appropriate and authorized. A buyer may review a detailed protocol under agreement while publishing only material categories. If the producer declines even category-level disclosure, record that limitation rather than converting it to “no additives.”
Commercial secrecy is a business choice; so is a buyer’s decision not to purchase without required information.
Sample and sensory evaluation
Evaluate physical condition and cup performance separately from process documents. Use consistent sample handling, roasting, and descriptive protocols. Blind evaluation can reduce expectation effects. After description and preference are recorded, reveal extrinsic information and assess fit for the intended market.

Do not let a striking fruit descriptor validate the paperwork. Do not let a complete process sheet override defects or poor fit. Experimental processing does not guarantee better coffee.
Laboratory evidence: write the question first
Testing can be valuable when a contract, investigation, or research project identifies a specific question. Before sampling, define the target substances or markers, matrix, method, detection limits, controls, sample custody, and interpretation criteria with a qualified laboratory. Retain sealed comparison samples where practical and lawful.
A detected compound may have multiple possible sources, including endogenous coffee chemistry, fermentation metabolism, handling, packaging, or intentional application. Presence alone may not establish timing or intent. Non-detection does not prove universal absence if sampling or analytical scope is limited.
Never summarize an undocumented rumor as “lab tested.” Request the report, method, sample identity, and authorized interpretation. Community links can identify hypotheses but cannot substitute for evidence.
Contract and change-control fields
Where material, include agreed specifications for species and lot identity, permitted and prohibited input categories, required disclosure, document retention, notification of process changes, sample approval, and remedies for material misdescription. Obtain appropriate legal advice for the jurisdictions and counterparties involved.
Avoid promises the supplier cannot operationally verify. A producer may control farm processing but not contamination or relabeling later in the chain; a roaster may control packaging but rely on upstream process declarations. Allocate responsibility according to control and evidence.
When a process changes, create a new version or lot designation. Do not carry tasting notes, ingredient claims, or “additive-free” language forward automatically.
Translate the file into customer copy
Customer-facing copy should be less detailed than the procurement file but equally accurate. Name Fine Robusta and origin. State the base process. Identify selected cultures and non-coffee inputs by category. Attribute the information when relevant: “producer-reported.” Avoid implying independent verification unless it occurred.
If a detail is unknown, omit the unsupported claim or state the limitation. “Full input list not available to the roaster” may reduce conversion, but it preserves trust and creates pressure for better data. Marketing should never upgrade “not reported” to “none used.”

Respond to new allegations or evidence
If a community claim names a supplier or process, pause amplification. Secure retained samples and documents, contact the direct counterparty, and define what could be checked. Keep allegations separate from established facts. Correct public descriptions promptly if the record changes, but do not publish an accusation solely because a flavor seems literal.
The current online debate is useful because it reveals expectations: consumers want additive lists and want roasters to know more than a headline process name. It does not establish how common undisclosed treatment is, whether a named origin is suspect, or what a specific coffee contains.
A calm response can say what is known, how it is known, what is being checked, and when copy will be updated.
A minimum approval gate
Before purchase or launch, confirm that the lot identity is coherent, process chronology is recorded, intentional-input categories are answered or marked unknown, claim provenance is retained, sensory fit is independently evaluated, and customer copy does not exceed the evidence. Escalate legal or food-safety questions to qualified professionals.
The approval can be conditional. A buyer might accept a sample while withholding a “no additives” claim, or purchase for internal evaluation pending documents. The point is to make uncertainty visible to decision-makers rather than burying it in email.
Protect Fine Robusta value
The file should show why the coffee matters beyond novelty: producer work, canephora identity, cherry quality, processing control, drying, storage, sensory character, consistency, and intended use. Fermentation may add value, but it should not become an alibi for weak traceability.
