Cambodian Green Coffee Trial Orders: From Sample Approval to Shipment
A first green-coffee order from Cambodia needs a disciplined bridge between sample evaluation and a physical shipment. This plan helps roasters avoid changing the product, quality basis or commercial terms after the sample is approved.

Start by describing the intended product
Before requesting samples, define whether the coffee is for espresso, filter, a limited single-origin release or a recurring wholesale program. Set an acceptable flavor direction and a shortlist of measurable requirements. This allows the supplier to match the buyer to an actual available lot instead of sending an impressive but commercially irrelevant sample.
Include expected shipment quantity, destination, preferred packaging, target timing and any mandatory documentation. A purchase request with no destination or intended volume is difficult to quote. Distinguish your ideal product from conditions that would prevent you from buying, such as a missing origin record or a failed sample test.
Request a reference sample from an identified lot
The seller should identify the sample lot, crop where known, processing method, available stock and the relation between sample and proposed commercial coffee. Confirm whether the sample is a representative draw or a specially selected showcase portion. A good first cup must not be mistaken for evidence that every bag in a larger offer will be identical.
Record receipt date, packaging and sample condition. If you will roast it, use a repeatable profile and write down your evaluation context. Retain enough coffee for comparison if possible. When multiple samples arrive, assign clear codes and compare without relying exclusively on promotional tasting notes.
Evaluate physical and sensory quality separately
Physical measurements such as moisture and defect observations help describe storage and preparation quality, but they cannot replace sensory evaluation. Conversely, attractive flavor does not resolve excess physical defects or traceability gaps. Agree on which method and acceptance range will apply to the actual shipment.
For Fine Robusta candidates, request the evaluation method and the identity of any supporting grade or score. Coffee grown in Cambodia is not automatically Fine Robusta. The Cambodia Fine Robusta quality pillar discusses why species, growing origin and sensory quality should be treated as distinct claims.
Confirm the offer before paying
The written offer should identify quantity, lot or substitution rules, unit price, currency, Incoterm, packaging, shipment schedule, payment method, document responsibilities and expiry. Do not assume a general supplier capacity claim means the exact quantity is reserved. Ask for a dated confirmation of commercially available stock.
A trial order is a contract experiment as well as a coffee experiment. Define who bears freight and insurance, who arranges export papers and how a documented quality discrepancy will be handled. A simple clear agreement is usually more valuable than an elaborate quotation that leaves the responsible party ambiguous.
Set a pre-shipment comparison point
Before dispatch, confirm bag and lot markings, gross and net quantities, packing format and whether a pre-shipment sample is required. Request photographs or other records only to the extent they genuinely verify identity and handling. The main question is whether the coffee being loaded is the coffee that was approved.
If the supplier proposes a substitute lot, restart the relevant approval steps and record the buyer's decision. A similar regional origin or varietal name should not silently override the accepted sample reference. That discipline matters particularly for first-time international buyers without a long transaction history.
Plan arrival checks and claims handling
At the destination, inspect packaging, lot markings and the condition of representative bags. Document any damaged packaging and compare the coffee with the approved reference using the agreed method. Record dates, measurements, photographs where needed and who performed each inspection.
Not every difference is a breach of contract, so define the tolerance before shipping. If a concern arises, notify the counterparty promptly and preserve a clear sample chain. The result of the first order should be a documented learning cycle rather than a dispute built on mismatched expectations.
Decide whether to repeat, adapt or stop
Review sensory performance after commercial roasting, actual landed cost, document completeness, communication speed, delivered quantity and the likelihood of repeat availability. A strong one-off coffee may still be appropriate only for a limited release. For a recurring house coffee, agreed tolerance and future lot approval are essential.
